Database Reactivation: How to Get Revenue From a List You Wrote Off

Old enquiries are the cheapest pipeline you own. They are also the fastest way to destroy your sender reputation if you get it wrong.

Why this works when it works

Every contact in an old database was acquired at a cost you already paid. They raised their hand once, which puts them well ahead of any cold list, and in most businesses the reason they did not buy was timing rather than rejection. A reactivation campaign is not a discount blast. It is a well-timed reminder to people who had a real reason to be interested.

The failure mode, stated plainly

Uploading eleven thousand old contacts and texting all of them on Monday morning is how you generate spam complaints, get your number flagged, and burn a list you cannot replace. Carriers act on complaint rate. Once your sender reputation is damaged, every other message you send, including the transactional ones your customers want, starts arriving less reliably. Do the segmentation work first.

Segment on a reason, not on a date

The question is not how old a contact is. It is whether something has changed that makes contact make sense now.

  • Mortgage: original rate versus current market, loan age, estimated equity position
  • Auto service: declined work by urgency, mileage interval, season for tyres or air conditioning
  • Home services: age of the system quoted, seasonal maintenance, the specific job they declined
  • Med spa or clinic: last treatment type and its natural cycle length
  • Anyone: a proposal that expired without a decision, which is the strongest signal on this list

Suppress hard before you send

Remove anyone who has opted out on any channel, anyone who complained, anyone currently in an active sequence, anyone who bought recently, and anyone whose contact details fail validation. Then remove anyone the offer cannot plausibly help. Cutting a list of eleven thousand down to two thousand genuinely relevant contacts produces more revenue and a fraction of the risk.

Write it as one person to one person

The message that works does not look like a campaign. It references their actual situation, uses their first name once rather than three times, is short enough to read in a glance, and asks a question rather than announcing an offer. "Hi Sarah, we quoted you for a new furnace back in March. Given how cold it has been, is that still something you are thinking about?" outperforms any professionally designed template, because it reads as though someone remembered.

Throttle the send

Send in batches over days rather than all at once. This keeps you within your A2P throughput tier, keeps complaint rate visible early enough to stop, and, more practically, means the replies arrive at a rate your team can actually handle. A campaign that generates four hundred replies on a morning when two people are working is a customer service failure dressed as a success.

Have somewhere for the replies to go

Reactivation produces conversations, not form fills. Before sending, decide who is watching the inbox, what the qualifying questions are, and where an interested contact lands in the pipeline. The most common way these campaigns underperform is not a weak message. It is a strong message nobody followed up on.

What it is worth

On a well-segmented list of several thousand records with a genuine reason to make contact, response rates in the mid single digits are normal and the revenue frequently exceeds a quarter of new-business marketing spend. It is also repeatable, though not monthly. Twice a year against different triggers is sustainable; every six weeks is how you train your own database to ignore you.

How old is too old for a reactivation campaign?

It depends on whether the underlying need persists. Two years is usually the practical edge for auto service because the vehicle may have changed hands. Mortgage and home improvement records stay useful far longer, because the property and the loan are still there.

Do I need consent to text old contacts?

Yes, and it needs to still be valid. If they opted in when they enquired and never opted out, you are generally fine in the US under existing business relationship rules, but the specifics vary by jurisdiction and by how long ago consent was given. Check before you send, and never text a purchased list.

Should reactivation go out by SMS or email?

Email first for very old or lower-confidence records, because the reputational downside is smaller and it lets you re-engage before you spend SMS credibility. SMS for recent, high-intent segments where the response rate justifies the risk.
