Acquisition is a solved problem. Retention is not, and most cancellations are predictable weeks in advance.

What actually breaks here
Nobody cancels a gym membership on impulse. They stop coming, then they feel guilty for six weeks, then they cancel. The attendance data shows you exactly who is on that path a month before they call, and almost no operator acts on it because nobody is watching a spreadsheet of who has not scanned in.
Intervening before the cancellation call
One concrete sequence, the way it runs in a live account. No dashboards to check and nobody to remind.
Attendance drops
A member averaging three visits a week has not scanned in for ten days.
Soft check-in
A message from their coach by name, asking how things are going. Not a marketing message and not automated in tone.
Reason captured
Injury, schedule, motivation and cost each route somewhere different, because they need different offers.
Path back offered
A pause instead of a cancellation, a different class time, or a session with a coach, depending on what they said.

GoHighLevel for fitness & gyms, answered
Still stuck on something specific? Ask us on a call and we will answer it properly.
Ask a questionCan it connect to our access control or check-in system?
Usually. Most modern systems expose check-in events through an API or webhook, which is all we need to drive attendance-based automation. Where a system is closed we work from billing and booking data instead, which is a weaker signal but still useful.
Does this work for franchise locations?
Yes, and it is one of the better uses of sub-accounts. Brand-level templates and reporting sit at the top while each location keeps its own calendar, numbers and local messaging. Franchisees cannot break the brand standard and head office can see every site side by side.
What actually recovers a failed payment?
Speed and tone. A same-day message that assumes the card simply expired recovers most of them. What loses members is a threatening letter three weeks later, by which point they have already decided to leave.
